Annual Flight Department Prep Checklist

Annual Flight Department Prep Checklist

Setting aside time each year to examine your operation is essential for staying prepared and aligned with your goals. A structured review helps you organize priorities, streamline processes, and stay ahead of changes – whether you’re preparing for the new year, conducting a mid-year audit, or evaluating at a time that make the most sense for you.

From documentation to safety management practices to regulatory changes, what you evaluate now will help you focus on what matters: safe, efficient operations throughout the year.

To make your evaluation easier, we put together the Annual Flight Department Prep Checklist – a tool that highlights key areas to review each year.

Operational Documentation

Have there been recent changes in your operation that should be reflected in your manuals? Do procedures still accurately reflect how you currently operate? Do you have all required documentation for known upcoming flights?

Safety Management

Have recent hazard reports and safety audits been reviewed? Are Fatigue Risk Management practices in place? Are there any areas in your SMS that have been overlooked that you want to start thinking about soon?

Regulatory Readiness

Do you have a designated person monitoring regulatory changes that affect your operation? Have you consulted with service providers regarding any upcoming changes, e.g., the addition of an aircraft?

In all areas, proactive planning is essential to avoid delays, risks, and other potential disruptions to your operations. We encourage you to set aside time at any point during each year to evaluate your operations; either using this checklist, or your own method to ensure smooth operations.
